We are seeking a professional and organized Administrative Assistant to support our daily operations and help ensure exceptional service for our clients and transportation team.

Position Summary

The Administrative Assistant will play a vital role in supporting office operations, coordinating transportation schedules, communicating with clients and drivers, and maintaining accurate records. The ideal candidate is detail-oriented, customer-focused, and capable of managing multiple priorities in a fast-paced environment.

Essential Duties and Responsibilities

  • Answer incoming phone calls and provide exceptional customer service.
  • Schedule, coordinate, and confirm transportation appointments.
  • Communicate trip details, schedule changes, and updates with drivers.
  • Maintain accurate client, trip, and transportation records.
  • Perform data entry, filing, scanning, and document management.
  • Monitor and respond to emails and customer inquiries promptly.
  • Assist with onboarding paperwork and maintaining employee files.
  • Prepare reports, spreadsheets, and other administrative documents.
  • Support billing, invoicing, and payment tracking as needed.
  • Ensure compliance with company policies and transportation regulations.
  • Assist management with various administrative and operational task

Qualifications

  • High school diploma or GED required.
  • Associate degree or administrative certification preferred.
  • Minimum of 1 year of administrative, office, customer service, or transportation-related experience.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication abilities.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to work independently and as part of a team.
  • Strong attention to detail and problem-solving skills.
  • Professional demeanor and commitment to customer service.

Preferred Qualifications

  • Experience in transportation, logistics, dispatching, or healthcare services.
  • Familiarity with scheduling software and GPS-based transportation systems.
  • Bilingual English/Spanish is a plus.
  • Experience handling confidential information.
